 2006/2007 PAYE Year End Procedure
Updated 27th March 2007

It is very important that you follow the 2006/2007 PAYE Year End Procedure exactly.

Year End Procedure
Process Last Payroll Period as Normal
Load KRAM Payroll System 2007 Release A Update
Print Year End Reports
Process Year End
Process First Payroll Period as Normal

Process Last Payroll Period
You can process and update the last payroll period for the 2006/2007 PAYE Year as normal. Once this has been done you will be warned that you need to do the Year End procedure before you can process any more payroll periods.

Load KRAM Payroll System 2007 Release A Update
The new KRAM Payroll System 2007 (available after 1st April 2007) is required in order to process the 2006/2007 PAYE Year End. This new version MUST NOT be loaded prior to the last payroll period being updated (where possible this will be loaded remotely for you).

Print Year End Reports (P14/P60's)
You will need to obtain the appropriate quantity of the Portrait Laser P14/P60's from the Inland Revenue.

Process Year End
During the Year End Procedure the system will set the new NIC Bands and Rates. However, it is your responsibility to check these prior to processing the first Payroll Period of the 2007/2008 PAYE Year. The system will also alter the Tax Codes for Employees with a suffix of L and set anyone on a Week 1/Month 1 Tax Code to a Cumulative Tax Code. You will need to amend any other Tax Code changes that you have been notified of.

Software Updates
If you have a valid Support Package for the period 1st April 2007 to 31st March 2008 then please contact us by e-mail when you are ready to have your updates loaded.

You can process the year end returns on line using www.efileready.com who will charge you directly for their services.

 Handling SSP
Updated 22nd January 1999
The KRAM Payroll System does not calculate the amount of SSP for an Employee. The amount of SSP should be calculated manually using the appropriate SSP tables provided by the Government. When Processing the Payroll you should enter the amount of SSP within the SSP field on the second screen of the Process Payment Screen.

 Handling SMP
Updated 22nd January 1999
The KRAM Payroll System does not calculate the amount of SMP for an Employee. The amount of SMP should be calculated manually using the appropriate SMP tables provided by the Government. When Processing the Payroll you should enter the amount of SMP within the SMP field on the second screen of the Process Payment Screen. Note this field will not be available if you have not specified the Employee as Female.

 Handling Directors NI
Updated 26th April 2001

The KRAM Payroll System uses the Cumulative Yearly Allowance method of calculating Directors NI Contributions if an Employee is flagged as a Director by entering Y in the Directors Field.

Under this method a Directors NI Contributions are calculated by comparing the Cumulative Gross Pay with the Yearly National Insurance Bands and deducting any National Insurance Contributions already deducted during previous Pay Periods. This method has the effect of a Director not paying National Insurance Contributions during the early Payment Periods until the Lower Earnings Limit for the Year is reached.

However, using this method of calculations means that the National Insurance Contributions may not be correct if an Employee is not a Director for a full PAYE Year.

 Another User Already Active
Updated 22nd January 1999
Within the KRAM Payroll System you can only have one user active within each Payroll Code. If you have crashed your computer whilst in a Payroll Code then the system will still be recording the fact that it is being used by another user and will prevent you access to it. This feature is designed to ensure data integrity as when a computer system crashes it can corrupt the data. If you are completely sure that no data was being processed when the computer crashed you can manually clear the active user yourself. If you go into System Utilities you will be warned that you should contact KRAM. If you Press Space at this Warning you will have another warning message informing you that there are active users. Press Space again and the System Control Screen will be displayed informing you of how many users are active. You can clear the active users by selecting the Clear Option twice.

 Payslip Stationery
